Site360 Overview

1. Who is Site360?

Site360 is a third-party provider that delivers the following contractor safety solutions on behalf of Woolworths:

  • Company health and safety prequalification

  • Individual inductions

  • Visitor sign-in at Stores, Distribution Centres, Support Offices and Customer Fulfilment Centres

  • Electronic Work Authority Form / Work Permit (EWAF)

2. Why are we moving to a new system?

The current provider, Pegasus, and the version used by Woolworths are being decommissioned.

3. When does this change happen?

As of 5 May 2025, Site360 will be active across all Woolworths sites for company prequalification and individual inductions.


Company Registration & Prequalification

Transitioning from Pegasus to Site360

4. Will contracting companies currently prequalified with Pegasus need to undergo prequalification again with Site360?

No. Current Pegasus company registrations and prequalifications will be recognised in Site360 until they expire. Contracting companies will not need to pay the Site360 Company Membership fee or re-qualify until their Pegasus registration lapses.

Note: If any insurances, licences or ISO 45001 certificates expire during this period, you’ll need to upload updated documents to Site360.

5. What if I need to renew my company prequalification in Pegasus before Woolworths transitions to Site360 in May?

Continue to renew in Pegasus up until 15 April 2025. If your Pegasus registration is due to expire between 16 April and 31 May 2025, you may be contacted to renew your prequalification early in Site360.

6. Do contracting companies need to provide more safety information than what was provided for Pegasus?

Site360’s health & safety prequalification has been simplified, but all contractors must now complete a detailed Risk Profile. This helps Woolworths understand the health & safety risks of your work activities.

7. What happens to the company information currently held in Pegasus?

Woolworths-specific data (e.g. insurances, licences) will be migrated from Pegasus and made accessible in Site360—provided it’s still current.


Accessing the Site360 Admin Dashboard

8. How do contracting companies log in to Site360 at the transition and access their account?

You’ll receive an email invite at the address registered in Pegasus. Follow the link to verify your company details and set a password.

Call to action: Please check Pegasus now to ensure your company’s email address is up to date.

9. When do I log in to Site360?

  • Invites will begin from 14 April 2025.

  • Required login from 5 May 2025.

  • Companies with Pegasus prequalification expiring between 16 April and 31 May may be contacted to renew early.

10. Who do I contact if I do not get an email invite to join Site360?

Site360 Company Membership

11. Who is required to undergo prequalification with Site360?

Any contracting company with a direct relationship to Woolworths and undertaking work at a Woolworths site must be prequalified by Site360 before commencing work.

12. As a contracting company not previously registered in Pegasus, why register with Site360?

Registering with Site360 allows Woolworths to effectively verify contractor safety-management systems and prequalify contractors.

13. How does Site360 determine company membership costs?

Fees are based on the level of verification required of your safety-management system. High-risk activities incur higher verification.

14. What are high-risk work activities?

Examples include:

  • Working at height (>2 m)

  • Demolition work

  • Asbestos handling

  • Confined spaces

  • Pressurised gas mains

  • Refrigerant piping

  • Energised electrical installations

  • Movement of a powered plant

15. What are the Site360 company pre-qualification costs?

Prequalification is paid for and renewed every 2 years. Fees range:

16. How do I make a payment for my company’s registration?

Site360 will invoice companies directly for registrations and individual-worker inductions. Payment terms: 14 days via EFT or credit card.


17. What is the Site360 induction fee, and why has it increased?

The induction fee is $22 per individual, valid for 2 years, covering all Woolworths inductions during that period.


Principal Contractors

18. What is a Principal Contractor?

An entity directly engaged by Woolworths for construction work above prescribed thresholds (e.g. >$350k VIC, >$450k SA, >$250k NSW/QLD/TAS/NT/ACT, or ≥5 workers in WA).

They control the worksite, manage inductions and check-in. Non-principal contractors are classified as Trade Contractors and use the Visitor App for inductions.

19. As a Principal Contractor, do I need to add subcontractors to Site360?

Yes—add subcontracting companies to Site360 so they can register and manage worker inductions.


Subcontractors

20. Are subcontractors required to register their company in Site360?

Yes. They must register in the Site360 Admin Dashboard to manage individual worker inductions.

21. How do subcontractors register their company in Site360?

The principal contractor generates an invite via the Admin Dashboard; subcontractors receive an email link to register.

22. When do subcontractors register with Site360?

Invites from 14 April 2025; registration required by 5 May 2025.

23. Will subcontractors and their company information be migrated from Pegasus?

No. Companies registered as subcontractors in Pegasus will not be migrated. Principals must add subcontractors in Site360, triggering an invite.

24. I’m a subcontractor and haven’t received an invite—what now?

Workers can still check in via the Visitor App, but company registration is required for inductions. Contact your principal contractor to be added to the Subcontractor List.

25. What do subcontractors need to do at transition?

  • Register for Site360 and create your Admin Dashboard account when invited.

  • Complete the Risk Profile.

  • Review and invite individuals in your Teams List.


Merchandiser & Demonstrator Suppliers

26. Do companies providing Merch & Dem services need to register with Site360?

Yes—register and manage workers in the Admin Dashboard. No fees apply.

27. How do Merch & Dem companies register?

  • Before transition: Follow the email invite link.

  • After 5 May 2025: Self-register at www.wowcontractor.com.

28. When do Merch & Dem companies register?

Invites from 7 April 2025; app inductions available from 5 May 2025.


Individual Onboarding & Inductions

Transitioning from Pegasus to Site360

29. Will individual contractors with a current Pegasus Card need to pay or redo the induction?

Current Pegasus Cards are recognised if uploaded to the Visitor App. Expired cards require renewal and purchase of an Induction Seat (managed by your company admin).

Note: Company must be onboarded in Site360 for individual inductions.

30. What do individuals need to do?

  1. Download the Woolworths Group Visitor App and set up a profile (QR code).

  2. Add Pegasus Card details: ID number, card photo, expiry date.

31. Will Pegasus inductions be recognised after 5 May?

Yes. Site360 will verify and convert your Pegasus Card to an Our Place Induction Card.

32. I can’t find my Pegasus Card—who do I contact?

  • Before transition: Contact your Company Admin or Pegasus to resend via the Onsite Track Easy portal.

  • After transition: Contact your Company Admin or Site360. Missing details may require re-induction (fees may apply).


ID Validation – Trolley Collectors & Cleaners

33. My profile says “Profile Validation Required” in the Visitor App—what does this mean?

Trolley collection/cleaning contractors must validate their ID by uploading a document in the Visitor App.

34. How is ID validation completed?

Upload a copy of your ID in the Visitor App; biometrics/facial recognition verify document validity. Manual review is available for those opting out or using an Immicard.

35. Is a copy of my ID document stored in Site360?

No—Site360 deletes ID documents within 7 days of upload.

36. I have an Immicard but can’t upload it—what do I do?

Request manual validation and submit via Site360.


Checking-in at a Store or Site

37. I have a red box saying “INDUCTION CARD MISSING IN PROFILE”—what does this mean?

Your Visitor App profile lacks an Our Place Induction Card.

Call to Action:

  1. Check for a Pegasus Card:

    • If available, check out and upload it to your profile, then check in again.

  2. If no Pegasus Card:

    • Contact support@site360.io or 1300 853 990 and speak to the SAC to confirm next steps or exemptions if critical work.
